Pre-Apprenticeship Process

Skills Scan (RPL)

Assessment of a candidates current competence, through recognition of prior learning (RPL) and work experience, forms part of the initial assessment process, which ensures that the apprentice is on the right level of apprenticeship and is eligible for funding (both Levy and non-Levy). Also included in our pre-apprenticeship work is assessment of their English and Maths attainment and assessment of any additional learning or support needs.

As part of the Recruitment, Screening and Shortlisting process, a candidates previous qualifications achieved/predicted will have been taken into account along with previous relevant work experience. Any prior learning or relevant work experience may exclude a candidate from eligibility or lead to an adjustment to the length of the apprenticeship, the overall funding drawn.

If you are recruiting yourself, without using our Recruitment, Screening and Shortlisting service, it is best to consult with us about a candidate before you appoint them as an apprentice to ensure there is no element of their prior learning or work experience that may affect their eligibility to complete the planned apprenticeship.

Apprenticeship Paperwork 

There are three documents we produce prior to a candidate beginning their programme and becoming an apprentice. 

Service Level Agreement

This is an agreement between you (The Employer) and us (The Training Provider) in regard to a specific apprenticeship and sets out how we will work together, each parties’ responsibilities, the apprenticeship standard to be undertaken and how it will be financed. This is a legal document and is based on the ESFA funding rules that all training providers must adhere to. It is important that this is signed as without the agreement in place no training can commence.

Apprentice Learning Plan

This is an agreement between the Apprentice, you (The Employer) and us (The Training Provider) that captures all that will delivered as part of the programme. It sets out each parties’ responsibilities, any relevant prior learning, the course(s) to be undertaken and the breakdown of how the off-the-job training hours. This will show a planned number of hours and a minimum amount of hour which the apprentice must cover by law.

Apprenticeship Agreement

This is an agreement between you (The Employer) and the Apprentice which sits alongside their Employment Contract that you produce to legally employ them. 

Learner details

We will be working with the candidate to ensure we have the necessary and acurate information to register them for their apprenticeship.

Company Training Plan (CTP)

The CTP is a document that you (the Employer) create, with guidance from ETT and the ETT Training Officer once the apprenticeship is underway. It sets out every element of training that you will deliver to the apprentice in the workplace, relating it to OTJ training. It is specific to your business, the role within which you have employed the apprentice and should lead to them gaining the knowledge, skills and abilities that you require of them by the end of the apprenticeship.

OneFile our E-portfolio Platform

We use OneFile as our E-portfolio Platform. We will give you access to this platform and arrange training for you and any other staff in your business who needs to use it.

Apprentice Induction

You are responsible for inducting the apprentice into your business as you would any other new member of staff. Aspects that should be covered are things like introduction to key people, introduction to the work environment, policies, procedures, working practices etc. You are also responsible for providing the apprentices with any PPE and/or uniform that is required.

We too have a responsibility to induct the apprentice into their apprenticeship. Within their ETT Induction they will meet their dedicated Training Officer and be given an overview of their apprenticeship together with details of their individual CTP. We discuss what is expected of them, what they can expect from you, their employer and us as their Training Provider. In addition, they are given awareness training in Health & Safety, Behaviours, Equality & Diversity and Safeguarding. We will also check any qualification certificates as proof of prior learning and give them training on the e-portfolio platform as this will be central to keeping their apprenticeship on track.
